Legally Notarize Your Documents Online
What is the Process to have your document notarized online? A remote online notary is a notary who uses audio-visual technology and the internet to notarize your important documents instead of appearing face to face with each other. Remote notarization allows anyone to connect with an authorized electronic notary public at any time to sign and notarize documents. Using a remote online notary allows the signer the convenience of being able to have documents notarized from a completely different state or country than the notary. The notary, however, must be in the state where they were commissioned.
The Process: An authorized R.O.N. (Remote Online Notary) is contacted by the Signer (document holder). The Signer will then send their document to the R.O.N by email who will then use a platform to upload the document for online signing. The R.O.N. will then review the document to be sure it can be legally notarized according to State Laws and will be sure all blank spaces are completed. The R.O.N. will send the Signer a link to join the online platform for a specific day and time. The Signer can use their desktop, laptop, Android or iPhone to connect to the signing appointment. The Signer’s identity will be carefully screened and verified according to State Laws. The Signer will supply a government or State issued ID such as a driver license, State ID card or passport that is required by the Notary to properly identify them. The Signer may also be required to answer a series of questions based on their personal credit history known as “Knowledge Based Authentication” or KBA.
Once the Signer’s identity is verified the signer and R.O.N. are connected on the platform to communicate using audio-visual equipment, like a webcam, and the session will be recorded so that there is a record of both audio and visual which is saved into the notary’s journal for a required length of time.
The Signer will then be asked a series of required questions to check willingness to sign, understanding of the contents of the document and awareness that the document legally binds them to the terms of the document. The Signer will then be directed by the R.O.N. to affix their signature by selecting either a “text based” signature or by drawing their signature using a pen pad. The notary’s seal is attached, and the notarized document is returned to the signer after payment.
For electronic documents, electronic signatures are required, and an electronic version of the notary’s seal is also required. States are implementing remote online authorizations more every day because of their convenience, simplicity, and security.
